Workflow automation
AI Workflow Automation Agency: n8n, Make & Zapier
Workflow automation connects the tools you already use so leads, bookings and data move on their own. We design, build and maintain automations in n8n, Make and Zapier, with AI steps where they save real work.
What we automate
Most small businesses lose time in the same places: new leads waiting for a reply, details typed from one tool into another, and follow-ups that depend on someone remembering. Typical automations we build:
- New lead from a form, call or chat goes straight into your CRM with the source attached.
- Instant follow-up by SMS or email when someone fills in a form or misses you on the phone.
- Appointment booking, confirmations and reminders synced with your calendar.
- Hand-off from an AI receptionist or chatbot to your CRM and team, with the conversation summary.
- Reports and alerts that collect numbers from several tools into one place.
- AI steps that classify, summarise or draft replies inside a workflow.
n8n, Make or Zapier?
We pick the tool for the job, not the other way round.
| n8n | Make | Zapier | |
|---|---|---|---|
| Best for | Complex, multi-step and AI-heavy workflows | Visual workflows of medium complexity | Quick app-to-app connections |
| Hosting | Cloud or self-hosted on your own server | Cloud | Cloud |
| Data control | Highest when self-hosted | Standard SaaS | Standard SaaS |
| When we choose it | Many systems, custom logic or data that must stay on your infrastructure | Branching flows a non-developer will also edit | Simple flows on apps Zapier already supports |
How a project runs
- Audit. We map how leads, bookings and data move today and where time is lost.
- Design. We agree on triggers, data fields and who gets notified, before building anything.
- Build and test. We build in n8n, Make or Zapier and test with real records, not just sample data.
- Monitor. Each workflow gets error alerts so a failed step is fixed, not discovered weeks later.
- Hand over. You get documentation of what runs, when and why, and we stay available for changes.
Automation ideas by business type
- Home services: a missed call triggers a text with a booking link, and every booked job gets a confirmation and a reminder.
- Clinics: each booking starts a reminder sequence, and lapsed patients are listed for a reactivation call.
- Real estate: every new lead lands in the CRM with its source, and the right agent is notified at once.
- E-commerce: new orders reach your CRM and accounting sheet, and low stock sends an alert.
- B2B and agencies: a form fill creates a CRM record, alerts the team in Slack and starts a follow-up email.
What we need from you
- A short list of the tasks your team repeats most.
- Access to the tools involved, such as your CRM, calendar, forms and inbox.
- A few real examples of the records that move between them.
- Someone who knows the process and can answer questions.

What is the difference between n8n, Make and Zapier?
Zapier is the fastest way to connect two popular apps. Make handles visual, branching workflows well. n8n suits complex or AI-heavy workflows and can be self-hosted, so your data stays on your own server. We often combine them.
Can you work with the tools we already use?
Usually yes. If a tool has an API or is supported by n8n, Make or Zapier, we can connect it. We confirm this in the audit before quoting.
What happens when an automation fails?
We add error alerts and logs to every workflow, so a failed step is visible straight away and can be fixed or re-run.
Do you use AI inside automations?
Where it saves real work: sorting incoming messages, summarising calls or drafting replies for a person to approve. Simple rules stay simple rules.
Can automations connect to an AI receptionist or chatbot?
Yes. Our voice agents and chatbots hand their results to automations that update your CRM, book appointments and notify your team.
