Staffix: an HR bot that lives in Slack and LINE WORKS

Staffix is a product we designed, built and run ourselves. It moves attendance, breaks, leave, daily reports and payroll exports into the chat tools a team already uses, in English and Japanese.

The problem

Teams that work in chat still handle HR somewhere else. Punch clocks get forgotten, leave requests sit in email threads and daily updates turn into another meeting. Every small HR task pulls someone out of their flow and into a portal they had to be trained on.

Full HR suites answer this by asking everyone to learn a new platform. Simple attendance bots stop at clock-in and clock-out. A cross-border team, such as a US company with an office in Japan, also needs a tool that speaks both languages and fits both countries’ requirements.

What we built

Attendance and breaks by message

Staff type checkin, break or back in Slack or LINE WORKS. Staffix timestamps each one, flags late arrivals and keeps a live board of who is working, on break or on leave.

Leave and approvals

A message such as “leave Friday” or “sick today” goes to the manager, who approves or declines in one tap. Balances, accruals and holiday calendars update on their own.

Daily progress reports

Staffix collects end-of-day updates from each person, including the Japanese 日報 daily report, and posts one clean summary for the team.

Payroll-ready exports

Attendance, breaks and leave feed into exports that payroll can use, so nobody copies hours between tools at the end of the month.

Dashboards and reporting

Managers filter by team, location or date, look for attendance patterns and export anything to CSV.

How a team starts

  1. Add Staffix to the workspace. Install the bot in Slack or LINE WORKS with one click. There is no IT ticket, server or migration.
  2. The team talks to it. People type checkin, break, back or leave tomorrow in the chat they already use, and Staffix confirms and records it.
  3. Managers see the full picture. Attendance, breaks, leave and daily reports roll into a live dashboard, with payroll-ready data one export away.

Design and engineering choices

Stay inside the chat tool

The main risk for an HR tool is adoption. Staffix has no separate app or login for employees, so using it costs one message.

Be bilingual from the start

Commands and the assistant, Stella, work in English and Japanese, and LINE WORKS is supported natively for Japanese offices.

Keep access narrow

Admins, managers and employees each see only what their role needs. Data is encrypted in transit and at rest.

Make switching easy

Staffix imports an existing team and its policies, so moving from another attendance bot takes minutes.
